Administrative Assistant, Clinical

The Administrative Assistant to Clinical Operations will assist with Clinical leadership which includes the Chief Medical Officer, Chief Clinical Officer, and Regional Executive Director while also coordinating with needs of other Chief Officers. This position is 100% in-office and based out of our Kent, Ohio, location.

What are we looking for from you?

*Office Management and Support

  • Preparing correspondence (internal and external) and other mailings.
  • Preparing documents, such as presentations, reports, and meeting agendas.
  • Maintains an easily accessible filing system (both paper and electronic) in accordance with document retention policies.
  • Answering/managing phone calls (screening, transferring, accurate messages. customer service. etc.) .
  • Supporting key projects within the assigned function.
  • Maintaining office, printer, and computer supplies.
  • Preparing and processing relevant purchase requisitions, tracking assigned expenses, and reconciling them to the fiscal year budget figures, and applying organizational policies and procedures appropriately.

*Scheduling

  • Maintain the Executive's calendar by interfacing with internal and external customers.
  • Coordinate appointments, routine meetings, special meetings/events, and conferences.
  • Oversee events, including scheduling dates; requesting rooms; arranging food and beverage service; sending invitations: preparing supplies/materials; and, for certain events, taking, preparing. and distributing meeting minutes.

*Special Projects

  • Assist the Executive with special projects or assignments as requested, including research and contact with outside organizations.

*Phone Coverage

  • Work with other staff to ensure coordination of duties when needed.

*Other Duties as assigned

What qualifications will you need to be a successful Administrative Assistant to Clinical Operations?

  • Five years of experience working in a corporate environment at a senior level.
  • Strong written and verbal communication skills and an ability to collaborate with confidence to effectively interact with senior management and staff.
  • Knowledge and proficiency with various computer programs, including, but not limited to, an advanced level of usage with Microsoft Word, PowerPoint, and Outlook; moderate experience level using Excel and web applications.
  • Type 55 WPM.
